What you’ll do in the role:
•          � Maintain executive calendars for multiple MDs, schedule/reschedule meetings, field emails and phone calls requesting meetings (from internal/external participants), handle meeting conflicts and prioritization issues
•          � Provide telephone coverage - answer executive phones, take accurate messages, know executive’s whereabouts at all times, handle urgent calls with appropriate judgment for escalation or forwarding to other managers to address
•          � Arrange large group meetings - schedule meetings with all parties, book meeting rooms, iconf and/or Zoom calls, arrange special meeting requirements (food, computer, etc.), send meeting confirmation e-mails, prepare & distribute meeting materials
•          � Coordinates with other Admins for vacations and coverage
•          � Coordinates approval with Corporate Communications for executive external speaking/written engagements
•          � Handle business travel - book travel arrangements, coordinate out-of-town meeting schedule and logistics
•          � Submit post-travel expense reports in a timely manner and escalate as needed on unknown/inconsistent credit card charges
•          � Document preparation - prepare MS Office documents (letters, schedules, presentations)
•          � Office Administration - including but not limited to the set-up & maintenance of mail groups, preparation of copies, order supplies & maintain supplies drawer, maintain orderly, fully functioning work area for executives
•          � Other projects or assignments- at discretion of manager(s)
Skills Required
•          � Excellent communication, writing, judgment, and problem-solving skills
•          � Meticulous attention to detail as well as exceptional organization/time management skills
•          � Must be self-motivated, takes initiative, enthusiastic, positive team player who is willing to help out and who works well with colleagues
•          � Able to work in a fast-paced environment and handle multiple tasks concurrently
•          � Pro-active and dedicated; must have a strong sense of ownership and accountability for all job functions
Other Requirements
•          � College Degree Preferred or Relative Corporate Experience preferred (5+ Years of Experience)
•          � Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts
•          � Other applications helpful include Excel, PowerPoint, internet and research tools
•          � Solid typing skills (60+ wpm)
•          � Keep up to date with office procedures and technical training as well as all policy guidelines & compliance requirements
•          � Able to work in the office (NY Plaza) at least 3 days per week

Expected base pay rates for the role will be between $80k and $115k per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
